Receptionist

We are seeking a Part Time, Weekend Receptionist. This position will typically work 8 hours on Saturdays and 4 hours on Sundays with weekday fill-in shifts as needed.

The Commons Receptionist is responsible for answering and transferring all incoming calls in a courteous and professional manner, giving information, direction and other appropriate assistance to residents, staff, guests and vendors. This person can work under direct supervision when necessary but acts independently most of the time following specific procedures. This position performs a variety of other clerical duties as assigned. This position is for weekend shifts, typically 8 hours on Saturdays and 4 hours on Sundays; fill-in weekday shifts as needed.

Responsibilities
  • Open and close the reception desk and properly secures all files, keys and equipment in the office area.

  • Communicate to the appropriate parties, promptly and clearly, all messages and material directed to them.

  • Disseminate information. Announce incoming calls for the administrator.

  • Process incoming and outgoing calls (via multi-line, computerized switchboard) in a timely, professional and helpful manner. Make changes, additions and deletions to the database as necessary.

  • Greet and assist residents, visitors, staff and vendors with courtesy and service-oriented attitude.

  • As requested by residents, copy and fax materials. Weigh letters and small package and apply postage to those items. Accept payment for the foregoing services.

  • Answer maintenance service calls and communicate requests to Plant Operations/Environmental Services staff.

  • Conduct financial transactions. Make reservations for guest rooms, party rooms and lounges, and other common spaces. Receipt all incoming miscellaneous payments, including all resident monthly service fee payments.

  • Assist residents with van/bus trip reservations.

  • Ensure the safe keeping/confidentiality of all monies, keys, documents and valuables place in his/her possession.

  • Receive all persons who enter the Community in a courteous manner, inform, guide, direct or otherwise assist residents, visitors, staff or vendors tactfully and congenially to present the best possible image of the Community.

  • Take all meal reservations and cancellations and forward to appropriate dining service extension. Write all food vouchers and distribute to the residents.

  • Attend monthly In-Service meetings.

  • Contributes to a positive, healthy and safe work environment.

Required Qualifications

  • Minimum High School Diploma or equivalent.
  • Must be friendly, caring individual, with social presence and display flexible behavior.
  • Able to handle confidential information in an appropriate and discreet manner. Must act in accordance with Resident Bill of Rights.
  • Possess excellent written, verbal and listening communication skills.
  • Possess computer and word processing skills.

Preferred Qualifications

  • Previous receptionist or commensurate experience; will train qualified candidate.
  • Possess computer and word processing skills.
Work Schedule

Part-Time | 1st and 2nd shifts
